Private pilot operating guide

Seller / Parent Guide

1. The parent manages the account

The adult Seller/Parent manages one or more Maker profiles, listings, stock, customer messages, payments and delivery. The child Maker does not have a separate login and should not arrange delivery or handle customer personal information.

2. Create accurate listings

Use truthful photos, descriptions, prices, materials, availability and preparation times. Explain customization limits clearly. Only list creations you are comfortable making and safely delivering within the pilot rules.

3. Keep stock current

Update ready stock and made-to-order availability whenever something changes. Do not accept more work than you can prepare and deliver. Product preparation time cannot be longer than the four-day delivery window.

4. Review new orders promptly

Check the products, quantities, custom names, colours, age groups and design choices before accepting. Reject promptly if you cannot fulfil the complete order accurately and safely.

5. Deliver within four days

You arrange delivery and must complete it within 96 hours from purchase. The exact deadline appears on every order. An overdue undelivered order automatically cancels and its inventory is restored.

6. Keep order status truthful

Move the order through accepted, preparing, ready for delivery and out for delivery. Mark delivered / sold only after the buyer receives it. Mark payment received only after collecting COD or confirming the bank transfer.

7. Communicate through the order

Use the shared order conversation for preparation questions, delivery coordination, changes and problems. The buyer and Platform Admin can see these messages. Admin may intervene when help is needed.

8. Handle delivery problems early

If the address is incomplete, the buyer is unavailable, preparation is delayed, or safe delivery is not possible, message the buyer immediately. Never send the child Maker to meet a buyer. The four-day deadline still applies during the pilot.

9. Resolve product and payment problems

Respond promptly if a creation is damaged, unsafe, incorrect or does not match the agreed customization. Agree a practical repair, replacement, cancellation or refund with the buyer and admin. If money was received, do not mark it refunded until it has actually been returned.

10. Protect children and customer data

Keep the Maker's participation voluntary, age-appropriate and supervised. Do not show customer names, phone numbers, addresses, private messages or payment details to the Maker. Use buyer information only for the relevant order and do not use it for unrelated marketing.

11. Ask for help

If you are unsure about a listing, safety concern, customer request, cancellation or refund, pause and contact Platform Admin through the available pilot support channel.
